Great Southern Holiday Properties
Thank you for choosing to stay with Great Southern Holiday Properties.
These Booking Terms & Conditions apply to direct reservations made with Great Southern Holiday Properties (GSHP), including bookings made through our website.
By completing a reservation and selecting the box confirming that you agree to these Terms & Conditions, you acknowledge that you have read, understood and accepted the conditions below.
Your stay is also subject to the individual property's listing information, house rules and any property-specific Rental Agreement provided to you following your reservation.
1. Your Booking
Great Southern Holiday Properties acts as the managing and letting agent on behalf of the owners of the holiday properties within our portfolio.
A booking is confirmed once the required initial payment has been successfully processed and you have received confirmation from GSHP.
The person making the reservation is considered the **primary guest** and must be at least 25 years of age.
The primary guest is responsible for the booking and for ensuring that all guests and approved visitors comply with these Terms & Conditions and any property-specific conditions applying to the stay.
The number of overnight guests must not exceed the number included in your reservation or the maximum occupancy permitted for the property.
If your guest numbers change, please contact us prior to arrival. Additional guest fees or changes to room access or bedding may apply depending on the property.
2. Payment
For direct bookings:
1. A 50% deposit is payable at the time of booking.
2. The remaining balance is due 7 days prior to arrival unless otherwise stated in your booking confirmation.
3. The payment method provided when booking may be securely retained by our payment provider for scheduled payments associated with your reservation.
4. If payment cannot be successfully processed by the due date, we will make reasonable attempts to contact you. If payment remains outstanding, GSHP may cancel the reservation in accordance with the applicable cancellation terms.
Prices displayed or quoted are correct at the time the reservation is made.
Rates may change prior to booking as many of our properties operate using dynamic pricing. Once your reservation has been confirmed, the accommodation rate for that confirmed booking will not change unless you request a change to the reservation.
3. Security Bond
A security bond pre-authorisation is required for all direct bookings.
The applicable bond amount may vary between properties and will be disclosed as part of your booking or pre-arrival information.
Valid card details must be provided through the Guest Portal before arrival.
The security bond is pre-authorised 2 days prior to arrival. A pre-authorisation places a temporary hold on the nominated amount rather than processing it as a payment.
Provided no claim is required, the pre-authorisation will be released within 2 days following departure. The time taken for funds to become available again may also depend on your financial institution.
GSHP may recover reasonable costs associated with:
* damage to the property or its contents
* missing or removed items
* excessive cleaning
* additional linen or bedding used without prior arrangement
* undeclared or unauthorised pets
* breaches of the booking conditions that result in a reasonably incurred cost
* other loss directly arising from the guest's stay.
Where a charge is required, GSHP will notify the primary guest in writing of the reason for the charge and the amount being claimed.
4. Online Check-In & Rental Agreement
Following confirmation of your reservation, the primary guest will be required to complete our online check-in process through the GSHP Guest Portal.
You will also be asked to review and complete a property-specific Rental Agreement after booking.
The Rental Agreement contains information relevant to the individual property, which may include but is not limited to:
* maximum occupancy
* bedroom and bedding arrangements
* parking and garage access
* pet conditions
* waste and recycling requirements
* property facilities
* access instructions
* specific house rules.
Completion of all required pre-arrival information is a condition of access to the property.
The property-specific Rental Agreement supplements these Booking Terms & Conditions and should be read together with your booking confirmation and the property listing.
5. Arrival & Departure
Unless otherwise advised:
* Check-in is from **3:00 pm**
* Check-out is by **10:00 am**
Property access information will generally be provided approximately 24 hours prior to arrival, once all required pre-arrival steps have been completed.
Early check-in or late check-out may sometimes be available by prior arrangement but cannot be guaranteed. Early check-in is not permited unless approval has been given by GSHP prior.
Unauthorised late departures may incur an additional fee where additional cleaning, staffing or operational costs are incurred.
Guests must ensure all doors and windows are securely closed and locked when leaving the property and again at departure.
6. Guest Responsibilities
We ask guests to treat our privately owned holiday homes with the same care and respect they would their own.
Guests are responsible for any loss or damage caused by themselves, members of their group, approved visitors or approved pets during the stay, other than reasonable wear and tear.
Guests must:
* use the property only for lawful residential holiday accommodation
* comply with reasonable directions from GSHP
* respect neighbouring properties and the local community
* notify GSHP promptly of any damage, breakage, fault or significant issue
* keep the property reasonably secure
* leave furniture and furnishings in their original locations
* comply with applicable property rules and instructions
* ensure the property is not occupied beyond the approved guest capacity.
Tents, caravans and campervans may not be used at the property for additional accommodation.
Serious or repeated breaches of these conditions may result in termination of the stay without refund.
7. Parties, Events & Noise
Parties and events are strictly prohibited.
Guests must respect neighbouring properties and avoid excessive noise, particularly between 9:00 pm and 7:00 am.
Unauthorised gatherings, excessive noise or behaviour causing significant disturbance to neighbouring properties may result in termination of the stay wihtout refund, and charges for any reasonable costs or losses arising from the breach.
8. Visitors
Visitors are permitted only where their presence is consistent with the property's occupancy limits and house rules.
Visitors must not stay overnight unless they have been included in or approved as part of the reservation.
The primary guest remains responsible for the conduct of any visitors to the property.
9. Smoking
Smoking and vaping are not permitted inside any GSHP-managed property.
Some properties may also restrict smoking in outdoor areas. Please refer to the individual property's Guest Guide or Rental Agreement for any property-specific requirements.
Guests are responsible for safely disposing of cigarette butts and ensuring smoke does not enter the property.
Additional cleaning or remediation costs resulting from smoking inside the property may be charged to the guest.
10. Pets
Pets are permitted **only at properties advertised as pet-friendly and where prior approval has been obtained from Great Southern Holiday Properties**.
Where a pet has been approved:
* the applicable pet fee must be paid prior to arrival
* any required Pet Form must be completed
* guests must comply with the pet conditions applying to the individual property.
Unless otherwise stated in the property's specific conditions:
* pets must not be permitted on furniture or beds
* pets must be appropriately toilet-trained
* guests must provide suitable pet bedding and feeding equipment
* pet waste must be removed
* guests are responsible for any pet-related damage or additional cleaning.
Individual properties may have additional requirements, including restrictions relating to the type or number of pets permitted.
Bringing an undeclared or unapproved pet to a property may result in additional charges and, where the circumstances warrant it, termination of the stay without refund.
11. Cleaning & Departure
A standard departure clean is included within, or charged as part of, your reservation.
Guests are not expected to professionally clean the property before departure. However, we do ask that the home is left in a reasonably clean and tidy condition.
A property-specific Before Departure Checklist will be available in the Guest Guide and will also be sent to you prior to check-out.
This generally includes:
* washing, drying and putting away used kitchenware
* removing food and personal belongings
* placing used towels in the nominated location
* turning off heating and air-conditioning
* cleaning the BBQ if used
* disposing of rubbish correctly
* locking all doors and windows
* reporting any damage or issues.
Additional cleaning costs may apply where the property requires cleaning substantially beyond a normal guest turnover clean.
12. Linen & Property Contents
Standard linen and towels are supplied.
Guests must use supplied linen on any beds slept in and leave all GSHP or property linen at the premises.
Some properties have specific bedroom access or bedding configurations based on the number of guests booked. Details will be provided in the property's listing, booking information or Rental Agreement.
If additional beds, bedrooms or linen are required, please arrange this with GSHP before your stay. Additional charges may apply.
Items belonging to the property must not be removed from the premises.
13. Waste & Recycling
Guests are required to dispose of rubbish and recycling responsibly and in accordance with the instructions provided for the individual property.
Waste systems and collection requirements vary between properties and locations, so please refer to the property's Guest Guide.
Where incorrect disposal results in additional collection, cleaning or contractor costs, the reasonable cost may be passed on to the guest.
14. Property Faults, Maintenance & Services
Our properties are privately owned homes and, from time to time, appliances, equipment, utilities or services may experience unexpected faults.
If you experience a problem during your stay, please notify GSHP as soon as reasonably possible so we have an opportunity to assist.
We will make reasonable efforts to address faults promptly. Depending on the nature of the issue, this may include troubleshooting remotely, arranging a contractor, repairing the item or providing an alternative where reasonably available.
If a contractor or staff member is called to the property at a guest's request and the issue is found to have resulted from guest misuse or an error that could reasonably have been resolved without attendance, the reasonable call-out cost may be charged to the guest.
Internet and Wi-Fi services are supplied through third-party providers. While we will report service issues where possible, uninterrupted availability or a particular internet speed cannot be guaranteed.
15. Access to the Property
GSHP, the property owner or an authorised contractor may require access during a stay where reasonably necessary for:
* urgent repairs or maintenance
* health or safety matters
* investigation of a suspected serious breach of these conditions
* protection of the property
* another reasonable operational requirement.
Where practical, reasonable notice will be provided before access.
In an emergency or where there is an immediate risk to people or property, access may be required without prior notice.
16. Cancellations
Direct Bookings
Unless a different cancellation policy was expressly disclosed when your reservation was made:
1. Cancellations made 60 days or more prior to arrival are eligible for a refund of amounts paid, less any non-refundable payment processing fees where applicable.
2. Cancellations made 30 to 59 days prior to arrival are eligible for a refund of 50% of amounts paid, less any non-refundable payment processing fees where applicable.
3. Cancellations made within 30 days of arrival are non-refundable.
4. No refund is ordinarily provided for unused nights where a guest voluntarily departs before the booked departure date.
Where exceptional circumstances arise, GSHP may consider alternative arrangements in consultation with the property owner.
Third-Party Bookings
Reservations made through Airbnb, Booking.com or another third-party booking platform are subject to the cancellation policy applicable to the reservation on that platform.
Guests should contact the relevant booking platform regarding cancellations, refunds or platform payment terms.
17. Changes to a Reservation
Requests to change dates are subject to property availability and approval by GSHP.
For direct bookings, where a date change is requested more than 30 days before arrival and the revised reservation value is lower than the original booking value, an administration fee of 5% of the affected booking amount may apply where disclosed and reasonably incurred.
Changing the dates of a reservation may also result in a change to the accommodation rate because rates vary by season, availability and demand.
Bookings made through third-party platforms are also subject to the relevant platform's rules regarding reservation changes.
18. Cancellation or Relocation by GSHP or the Property Owner
Very occasionally, circumstances outside our reasonable control may mean that a booked property becomes unavailable.
Examples may include significant property damage, emergency repairs, sale or change of ownership affecting availability, safety concerns or another event preventing the property from being supplied as booked.
If this occurs, GSHP will contact you as soon as reasonably possible and may offer suitable alternative accommodation where available.
If suitable alternative accommodation cannot be provided or you do not accept the alternative offered, any refund or other remedy will be provided in accordance with the circumstances and your rights under applicable Australian law.
19. Personal Belongings
Guests are responsible for their own belongings during their stay.
If an item is left behind, GSHP will make reasonable efforts to locate and return it if requested.
Postage, packaging and administration costs apply to returned belongings, with a minimum handling charge of $25 including GST, plus any additional postage or courier costs where applicable.
20. Travel Insurance
We recommend that guests consider appropriate travel insurance for their stay.
Travel insurance may provide protection for circumstances such as illness, travel disruption, cancellation or loss of personal belongings, depending on the policy selected.
21. Website Information
GSHP makes reasonable efforts to ensure property descriptions, photographs, inclusions, pricing and other website information are accurate.
Properties are privately owned and may occasionally change. Furnishings, appliances, styling or other minor inclusions may differ from photographs or descriptions over time.
If we become aware of a material change that is likely to significantly affect your booked stay, we will take reasonable steps to notify you.
22. Website Content & Intellectual Property
Unless otherwise stated, the text, photographs, branding, graphics and other content appearing on the Great Southern Holiday Properties website are owned by or licensed to GSHP.
Website content may be viewed and used for personal, non-commercial purposes.
Content must not be reproduced, republished, sold or used commercially without prior written permission from GSHP or the relevant copyright owner.
23. Third-Party Websites
Our website may contain links to third-party websites or services.
GSHP is not responsible for the content, availability or privacy practices of third-party websites. Use of those websites is subject to the relevant provider's own terms and conditions.
24. Privacy
Personal information provided in connection with an enquiry, booking or stay will be handled in accordance with the Great Southern Holiday Properties Privacy Policy.
By making a reservation, you acknowledge that information may be processed through service providers used to administer your booking, including our property management system, payment providers and booking platforms.
25. Australian Consumer Law
Nothing in these Terms & Conditions is intended to exclude, restrict or modify any consumer guarantee, right or remedy that cannot lawfully be excluded under the Australian Consumer Law or other applicable legislation.
26. Changes to These Terms
GSHP may update these Booking Terms & Conditions from time to time.
The terms applying to your reservation will generally be those presented to you and accepted at the time your booking was made, together with any subsequent change expressly agreed between you and GSHP.
Updates to website terms will apply to future bookings from the date the updated version is published.
